For a one-time Gather fee, the Fort Worth Chamber will:

• Provide guidance on event considerations such as space, parking, signage, food and beverage
• Create an event page and registration on the Chamber website
• Send one invitation to active Chamber members and their representatives at least two weeks before the event
• Send a "Know Before You Go" email to registered attendees two business days before the event
• Provide the host with a list of registered attendees before the event*
• Provide available post-event metrics, such as invitation recipients, email performance and registration totals

*Attendee email addresses and other contact information will not be provided.

Gather is a member-hosted event, not a Chamber-planned event. As the host, your organization is responsible for planning, funding, and executing the event.

That includes your:

• Event space and setup
• Parking and guest arrival experience
• Food and beverage
• Signage
• Tables, chairs and equipment
• Programming or entertainment, if applicable
• Event staffing
• Vendors
• Cleanup
• Any applicable permits, licenses, insurance, security or safety requirements

Chamber staff can provide general guidance during planning, but all event arrangements and day-of execution are the responsibility of the host.

We recommend submitting your request at least four weeks before your preferred event date. All dates are subject to Chamber approval and availability, so please wait for confirmation before finalizing or promoting your event as a Gather event.

Once approved, you'll work with the Chamber to provide the information needed to build your event page and invitation.

Because the Chamber invitation will be sent no fewer than two weeks before the event, timely submission of event details is essential. A draft of the event page and email invitation will be sent to the host for approval, with one round of edits allowed.

We know plans can change. If your event date changes after the Chamber's invitation has been distributed and an additional email is required to notify members of the change, a $150 communications fee will apply.

Gather program fees are nonrefundable if the host cancels the event. If cancellation is received at least two weeks before the scheduled event date, the member will receive an account credit for the program fee.

Gather events are exclusively for active Fort Worth Chamber members and their representatives.

The Chamber promotes the opportunity to its membership but does not guarantee a minimum number of registrations or attendees. Attendance will vary based on factors including event format, date, time, location, and member interest.

Participation in Gather does not constitute a Fort Worth Chamber sponsorship or endorsement of the hosting organization, its products, or services.

At this time, only primary representatives of a member organization may request a Gather event. If a request is received from a non-primary rep, the request will be forwarded to the primary for approval. All Gather events are subject to Chamber approval.
